Accounts Payable Expenses

Vendor bills and AP-style expenses for materials, subcontractor invoices, and other project costs. Code each expense to a job and cost code, route through your approval chain, and track payment status.

Accounts Receivable & Billing

The Billing Report (Accounts Receivable) provides a comprehensive view of all invoices, their statuses, and outstanding balances across your projects. Track what's been billed, what's pending, and what's overdue — with drill-down into individual invoices and integration with QuickBooks for automated AR sync.

AI Note Enhancement

AI Note Enhancement transforms rough field notes into professional, detailed documentation. Field workers can write quick notes in their own words — using trade abbreviations, shorthand, and informal language — and the AI rewrites them into clear, client-ready reports while preserving all technical details.

Appello Intelligence Overview

Appello Intelligence is the AI layer built into the Appello platform. It brings artificial intelligence capabilities directly to the workflows your team uses every day — from field note enhancement to intelligent scheduling suggestions. Unlike bolt-on AI tools, Appello Intelligence operates within your data context, understanding your projects, workers, certifications, and financial performance.

Bulk Timesheet Entry

Bulk Timesheet Entry lets foremen and administrators enter time for multiple workers on a single screen — a critical workflow for ICI contractors where foremen report crew time at the end of each day. Instead of each worker submitting individually, the foreman enters hours for the entire crew in one pass.

Calendar Schedule

The Calendar Schedule provides a traditional calendar view of all job assignments, making it easy to see daily and weekly workload distribution across your organization. It complements the Job Schedule (project-focused) and User Schedule (worker-focused) with a date-centric perspective.

Certifications

Track worker certifications, expiry dates, and compliance status across your entire workforce. The certification matrix gives administrators a real-time view of who is compliant, who is expiring soon, and who has lapsed — eliminating the spreadsheet-based tracking that most contractors rely on.

Clock In / Out Report

Review clock-in and clock-out events submitted by workers via the mobile app. Includes GPS-backed punches for location verification, timestamps, and job associations. Use this report to audit attendance, spot missing clock events, and reconcile with timesheet submissions.

Companies

Manage customer, general contractor, and vendor company records. Companies are linked to projects, estimates, and invoices — forming the customer side of Appello's operational data model.

Contacts

Maintain people associated with companies — project stakeholders, billing contacts, site representatives, and general contractor personnel. Contacts are linked to company records and can be referenced on projects, estimates, and communications.

Cost Codes & Schedule of Values

Cost codes and the Schedule of Values (SOV) are the foundation of Appello's job costing system. Cost codes define what categories of work are being performed (e.g., pipe insulation, duct wrap, cladding), while the SOV defines the contract value for each line item. Together, they enable real-time tracking of earned value vs. actual cost on every job.

Departments

Departments represent the organizational divisions within your company — each with its own workers, projects, and cost tracking. For ICI trade contractors, departments typically align with trade specialties or operational functions, allowing you to run multiple trade divisions under a single Appello instance.

Employee Expenses

Field and office staff submit reimbursable expenses for manager review. Expenses are linked to jobs and cost codes, flowing into job costing when approved.

Employment Agreements

Employment agreements define the wage structures, benefit rates, and pay rules for different groups of workers. In a unionized environment, these map directly to Collective Bargaining Agreements (CBAs) negotiated between unions and employer associations. Appello supports multiple concurrent agreements — each with its own wage table, overtime rules, and effective date ranges.

Equipment List

Central inventory of tools, vehicles, and assets available to schedule and assign to jobs. Track equipment status, location, maintenance history, and inspection records.

Form Builder & Management

Appello's form builder lets you create custom digital forms for safety inspections, toolbox talks, quality checklists, incident reports, and any field documentation. The drag-and-drop builder supports conditional logic, multiple field types, digital signatures, and GPS-stamped submissions — replacing paper forms entirely.

Form Report

The Form Report provides analytics and submission tracking across all form templates. Review submission counts, completion rates, and drill into individual submissions for audit and compliance purposes.

Leave Submissions

Review and process employee leave and vacation requests. Workers submit leave requests from the mobile app or web portal, and administrators approve or reject them here. Approved leave automatically blocks the worker from being scheduled and appears as a leave indicator on the scheduling views.

Leave Types

Configure the types of leave your workers can request — from vacation and sick leave to union business and compassionate leave. Each leave type defines availability rules, approval workflows, and how time-off appears on the scheduling calendar.

Mobile Web Layout

Appello's web app is fully responsive. On a phone-sized viewport (390×844 or similar), the interface adapts with a condensed header, hamburger navigation, and stacked dashboard cards. Field workers can access all core features — timesheets, scheduling, forms, notes — from their mobile browser without installing a native app.

Permission Matrix Deep Dive

Appello's permission system provides granular control over what each user role can access across 65+ permission domains. This guide explains the permission structure, common role configurations, and how to use department-based scoping to restrict data visibility.

Platform Integrations

Appello connects with third-party services for accounting, communication, and API access. All integrations are configured under Settings → Integrations and can be managed by users with the appropriate permissions.

Progress Reports

Progress Reports track the financial completion of jobs by comparing billed amounts against the contract value. They are the bridge between your Schedule of Values (what you contracted to do) and your billing (what you've invoiced so far) — essential for progress billing workflows common in ICI construction.

Scheduling Overview

Appello's scheduling system is purpose-built for ICI trade contractors who dispatch crews to job sites across wide geographic areas. It provides three complementary views — Job Schedule, Calendar, and User Workforce — so dispatchers can answer any scheduling question from any angle. Workers see their assignments on the mobile app with job details, directions, and schedule change notifications.

Timesheet Export & Payroll

Export approved timesheets for payroll processing. Appello generates exports that include calculated wages, overtime premiums, travel allowances, board, parking, and union deductions — eliminating manual payroll calculations.

Timesheet Matrix

The Timesheet Matrix is the primary view for reviewing, approving, and managing worker timesheets. It displays all submitted timesheets in a grid format — workers on the left, dates across the top — giving administrators a complete picture of hours worked across the organization for any pay period.

Trade Classifications

Trade classifications (also called trade levels) define the hierarchy of worker roles within each trade — from probationary apprentices through to superintendents. These classifications drive wage lookups, scheduling eligibility, and workforce reporting. They mirror the apprenticeship and journeyman progression defined in union Collective Bargaining Agreements.

Travel Rate Cards & Zones

Travel rate cards define the per-diem, mileage, and board allowances your workers receive when travelling to job sites outside their home area. Each card contains multiple zones based on distance from the worker's union hall, with escalating allowances for longer commutes. This is a critical feature for ICI contractors managing crews across wide geographic regions.

Union Hall Management

Union hall management allows you to configure the local union halls your workforce belongs to, assign workers to their home hall based on geography, and track union affiliations across your organization. This is essential for ICI trade contractors working with organized labour — Appello is the only workforce management platform with built-in union hall support.

User Groups & Crews

User groups allow you to define reusable crews — named collections of workers who are frequently scheduled together. Instead of individually assigning 6 workers to a job every day, create a crew group and schedule the entire group in one action. This is how real ICI contractors operate — foremen run the same crew week after week.

User Workforce Schedule

The User Workforce Schedule shows scheduling from the worker's perspective — each row is a worker, and columns show their assignments across the date range. This view answers the question "Where is each worker assigned?" and makes it easy to spot unassigned workers who are available for work.

Workforce Management Overview

Appello's workforce management system is purpose-built for ICI (Institutional, Commercial, and Industrial) trade contractors who manage unionized and non-union field workers. It handles the full complexity of multi-trade, multi-local operations — union halls, Collective Bargaining Agreement wage tables, travel zones, apprenticeship progression, certifications, and crew management — in a single integrated platform.
