Certifications

Track worker certifications, expiry dates, and compliance status across your entire workforce. The certification matrix gives administrators a real-time view of who is compliant, who is expiring soon, and who has lapsed — eliminating the spreadsheet-based tracking that most contractors rely on.

Overview

Certifications — list of certification types including Working at Heights, WHMIS, JHSC, and trade-specific certifications

The Certifications page presents a matrix of all workers and their certification statuses. Each row is a worker, and each column is a certification type. Color-coded status indicators make it easy to spot compliance gaps at a glance.

Status Indicators

StatusMeaning
ValidCertification is current — not expiring within the renewal window
Expiring SoonCertification is within the renewal window (e.g., 60 days before expiry)
ExpiredCertification has lapsed — worker may not be eligible for certain job assignments
Not AssignedThis certification type has not been assigned to the worker

Dashboard Integration

The Company Metrics dashboard surfaces certification health at the top level:

  • Certificates Expiring Soon — Count of certifications within their renewal window
  • Certificates Expired — Count of lapsed certifications requiring immediate attention

These counts link directly to the certification matrix for drill-down.

Certification Types

Define the certifications your workforce needs to maintain. Typical ICI contractor certifications include:

Managing Certification Types

Creating a Certification Type

  1. Navigate to Settings → Training (or use the certification management area).
  2. Click Add Certification Type.
  3. Configure the fields:

Renewal Window Configuration

The renewal window determines when a certification transitions from "Valid" to "Expiring Soon." Set this based on how long recertification takes:

Assigning Certifications to Workers

Individual Assignment

  1. Open a worker's profile from the certification matrix or Workforce → Users.
  2. Navigate to their Certifications tab.
  3. Click Add Certification.
  4. Select the certification type and enter:

Bulk Assignment

For certifications that apply to your entire workforce (e.g., WHMIS):

  1. Select multiple workers from the certification matrix.
  2. Assign the certification type with dates.

Upload & Document Management

Each certification record supports document attachments:

  • PDF upload — Scanned certificates, wallet cards
  • Image upload — Photos of physical certificates
  • Multiple documents — Attach renewal certificates alongside the original
tip

Upload certificates as they're received — foremen can photograph wallet cards in the field and upload from the mobile app, keeping records current without office involvement.

Filtering & Reporting

  • JHSC (Joint Health & Safety Committee) reviews — Monthly compliance snapshots
