Appello Intelligence

Appello Intelligence is the name for the AI features built into Appello. There are two of them today: an AI rewrite control inside rich-text fields, and an AI Co-Pilot panel for drafting policy documents and estimate letters. Separately, Appello can expose your instance to an AI assistant such as Claude or ChatGPT through the Appello MCP Server, so you can ask questions about your own data in plain language.

Rewrite with AI​

Rich-text fields across the desktop app -- job notes, comments, policy document bodies, document templates, estimate and change-order letters -- carry a Rewrite with AI button in the toolbar.

It offers four fixed options:

  • Rewrite to be more professional -- shows the result in a preview under the field, with a checkmark to accept, an X to discard, and Try again to re-run. Nothing changes until you accept.
  • Translate to French, Translate to Spanish, Translate to English -- these replace the text in the field directly, with no preview step.

Select part of the text first and only the selection is sent; with nothing selected, the whole field is used. Full walkthrough, including what the translation options overwrite: AI Note Enhancement.

French, Spanish and English are the only languages offered. There is no dictation or voice-to-text in Appello -- phone keyboards provide their own dictation, which is a device feature rather than an Appello one.

AI Co-Pilot for documents and estimate letters​

Editing a Rich Text document body in Documents & Policies, or the letter text on an estimate or change order, shows an AI Co-Pilot panel beside the editor. You initialize the panel, then prompt it to draft or revise the text, and choose whether to apply what it produces.

Connecting an AI assistant to your Appello data​

Appello can expose your instance to an AI assistant that supports the Model Context Protocol -- Claude, ChatGPT and Microsoft Copilot among them. Once connected, you can ask questions about your own data and carry out actions in conversation instead of clicking through screens.

Two things govern what it can do:

  • Your own permissions. The connection acts as the signed-in user. It can see and change exactly what that person could see and change in the app, and nothing more.
  • An audit record. Actions taken this way are recorded alongside the rest of your instance's history.

Enabling the connection is done by Appello for your instance rather than switched on from Settings. Contact your Appello administrator or support to have it turned on.

What Appello Intelligence is not​

Features people often assume are AI-driven, and what actually happens:

Where your text goes​

The Rewrite with AI control and the AI Co-Pilot send the text you are editing to a third-party AI provider to generate the result, and send nothing else from your instance. Your instance's other data -- jobs, timesheets, financials -- is not sent by these features.
