Mobile Timesheet Submission
This page has no screenshots yet. Every screen, label, and button name below matches what you see in the mobile app.
Field workers use the Timesheets tab to log a day's time, check its approval status, and revise it if the office rejects it. What that screen asks for -- and whether the worker types hours in at all -- depends on the worker's timesheet submission type: Manual (the worker logs their own hours) or Clock In/Out (hours come from clock-in/clock-out records instead). See Honor System vs. Clock In/Out below for how that changes the screen, and Timesheet & Clock In Settings for where the default is configured.
Navigation
Bottom Tab Bar → Timesheets
Days are listed newest-first. A day the worker isn't scheduled for shows "You are not scheduled for today." instead of a timesheet card.
A worker who can see other people's timesheets (an approver, or anyone with a department/direct-reports/all scope on the mobile view-timesheets permission) gets an Only Me / Everyone toggle above the list. Switching to Everyone adds a filter icon for picking specific users and a scope badge -- Everyone, Only you, or You + N direct reports / You + N in your department -- confirming who's currently in view.
Daily Submission Workflow
- Tap Log Time above the list (only shown to a worker with permission to log time to an
unscheduled job). This opens Select a date and job to get started:
- Date -- defaults to the date the button was tapped from.
- Select User -- only shown to a worker who can log time on behalf of other users; otherwise the entry is for themselves.
- Company and Job -- the job list is limited to jobs the worker's submission type allows (see Honor System vs. Clock In/Out), and, without the "log time to closed jobs" permission, to jobs that are In Progress.
- Tap Continue. If the selected job has open Work Orders, a Log Time To picker appears next, listing the parent job and its open Work Orders; a plain job with no Work Orders skips straight to the next step.
- The Daily Timesheet opens, titled with the worker's name and the workday. On it the
worker:
- Enters hours for the job. + Log time to another job adds a second job row for a split day.
- Sets the Add Travel Expense, Add Board Expense, and Add Parking Expense toggles, if those claim types are enabled for the instance -- each can show a calculated rate badge (or a currency field, for a user allowed to override it).
- Toggles Add Timesheet Note (forced on and required if the instance requires a timesheet note) and types a note.
- If the job has labour cost codes and the instance requires cost code allocation, the button at the bottom reads Next instead of Submit and opens a second step, Assign Cost Codes: "Allocate your logged hours to cost codes for each job below." Tap + Add another cost code to add a row, choose a cost code, and split hours across rows -- the job's total stays in sync with the hours entered in step 2.
- Tap Submit. A Timesheet Submitted Successfully confirmation reads: "Your timesheet has been submitted for review and approval." A failed submission shows a Timesheet Submission Failed screen with the error instead.
The submitted day now shows an In Review status badge on the Timesheets tab, and appears on the office's Timesheet Matrix for approval.
Require Timesheet Note, Require Cost Code Allocation, and Show Equipment Time on Mobile Timesheets are all instance toggles under Instance Settings → Mobile Settings. The first two are described above; the equipment-time block that the third setting adds to this same form is out of scope for this page -- see that settings page for what it turns on.
A worker (or anyone with the right permission) can also delete an unlocked, non-approved day from the Timesheets tab with the trash icon next to it -- Appello asks "Delete Logged Time?" and confirms it cannot be undone before removing it.
Honor System vs. Clock In/Out
Every user has a timesheet submission type -- Manual or Clock In/Out -- that starts from the instance's Default Timesheet Submission Type and can be overridden per job or per user. Manual and Clock In/Out are the on-screen names; "honor system" below is this page's plain-language label for Manual, not on-screen text.
| Submission type | What the worker does | What the Daily Timesheet shows |
|---|---|---|
| Manual ("honor system") | Opens Log Time, picks a job, and types their own hours for the day, as in Daily Submission Workflow above. | The editable hours, expense, note, and cost-code fields described above. |
| Clock In/Out | Taps Clock In on a scheduled job (from the schedule or the job card, not the Timesheets tab) to start the day, and Clock Out to end it. | A read-only Time In / Time Out / Status table per punch, plus a Total Time, built from the clock records -- not typed hours fields. |
A few things worth knowing:
- Clock In/Out lives outside the Timesheets tab. The worker starts and ends their day from a Clock In / Clock Out control on the schedule or job card; the Timesheets tab only shows the resulting record, inside the same Daily Timesheet screen used for manual entry.
- Which type applies is resolved per job, in this order: the job's own submission-type override, then the worker's own submission type, then the instance default. A worker with the Manual Time Entry Override mobile permission can always edit hours by hand, even on a job resolved to Clock In/Out.
- A worker cannot submit while still clocked in. If an open clock-in exists for the day, the Daily Timesheet shows: "You are still clocked in to a job. You must clock out before submitting your timesheet," and the hours, expense, and note fields are locked until they clock out.
- Geofence check. With geofence validation on, the clock-in/out screen shows whether the worker is within or outside the job site geofence on a map, and requires a typed reason before letting a worker outside the geofence proceed.
- Rounding. If Automatically round clock in/out times is on, the Check In/Out table adds a "(Rounded To: ...)" figure next to the actual total -- but only for a worker who also holds the Manual Time Entry Override permission.
Rejected Timesheets
- When a reviewer rejects the day (from the desktop Timesheet Matrix, or from the mobile app if the reviewer holds the mobile approve-timesheets permission), the worker gets a Timesheet Submission notification: "Time submission for <date> has been rejected." Tapping it opens the Timesheets tab scrolled to that date.
- The day's card shows a red status badge and a Reason for Rejection panel -- tap it to expand the note the reviewer typed.
- Tap the pencil (edit) icon on the card to reopen the Daily Timesheet, make changes, and tap Submit again. The record returns to In Review.
- If the record is later approved, the same panel re-titles to Previous rejection reason so the history stays visible -- it disappears once the record reaches Approved.
Rejecting a timesheet requires a Timesheet Rejection Reason -- Appello will not save a rejection without one. This applies both on the desktop Timesheet Matrix and on the mobile approval screen.
What Workers See
| What | Where it comes from |
|---|---|
| Job breakdown | One row per job logged that day, with hours -- plus a separate Billed figure whenever billed hours differ from hours worked. |
| Status badge | Not Submitted, In Review, Rejected, or Approved -- plus a distinct orange Partial Approval state on instances using two-level approval. |
| Travel/Board/Parking badges | Travel Expense Claimed, Board Expense Claimed, Parking Expense Claimed as applicable, or No Claim if none were toggled on. |
| Break Time | Read-only -- calculated automatically from the employee agreement's break-time-allowance rules, not entered by the worker. |
| Worker Note / Reason for Rejection | Collapsible panels under the job breakdown. |
| Totals | Total (hrs Paid), Total (hrs Unpaid) (only shown when unpaid leave applies), and Total (hrs Billed) (only shown when it differs from paid), per worker per day. |
| Locked | A day inside a payroll-locked week shows a lock icon and "(Locked)" in the card header, and cannot be edited from mobile. |
A worker can edit their own day as long as it is not Approved, not in a locked week, and not locked by a partial approval they cannot override; once any of those apply, the edit (pencil) icon becomes a view-only (eye) icon.
Workers cannot approve or reject their own timesheets from the mobile app. A worker who also holds the mobile approve-timesheets permission (for example, a foreman) can approve or reject other people's timesheets from the same Daily Timesheet screen -- on a two-level-approval instance, any approval made from the mobile app is always a Partial Approval, never a final one. See Timesheet Matrix for how one-level vs. two-level approval works.
